Set up the pilot workflow

Give the AI employee the right context, tools, and first task.

Create or join the organization

If you are starting the pilot, create a Hive organization and complete onboarding. If a colleague already created it, accept their invitation instead.

The Owner connects the first harness and chooses a model. Invited colleagues receive their own onboarding conversation. See workspace setup for the detailed flow.

Describe the existing process

Open New AI employee and give it the pilot brief. Attach a current procedure and representative examples. Explain the terms your team uses and who to ask when a decision is unclear.

Example:

Help our coordinator triage maintenance requests. Use the attached escalation checklist. Return the category, urgency, missing details, and a draft next step for each request. Cite the source request. Do not send messages, book contractors, or change records.

Connect only what is needed

Use Connections to authorize the source tool. Check the account and provider permissions. Start with read-only access where the provider supports it.

If the integration is not available, use a document or export to test the workflow first. Do not pretend an uploaded snapshot is a live connection.

Run and inspect

Ask for a result on real, authorized input. Review it beside the original material. Feed corrections back into the same conversation.

Do not connect unrelated departments just to prepare for a possible expansion. Add the next system when the workflow needs it and the responsible person approves.
